Who we are

Enubix is operated in connection with Enubix. The public site and application are associated with www.enubix.ai. For privacy requests, contact info@enubix.ai.

Data we collect

Categories depend on your role and which features your organization enables.

Recruiters & hiring teams

  • Account profile (name, email, role) and organization identifiers
  • Branding and recruitment workflow content you upload
  • Communications and invitations sent through the platform
  • Data from integrations you authorize (such as calendar or mail connections)

Candidates & applicants

  • Contact details, résumé/CV, links, and application materials
  • Assessment and interview responses; scores and proctoring signals when enabled
  • Recorded audio or video where recording features are used

Teachers & students

Where the product is used for education workflows, we process similar categories (accounts, instructional activity, submissions, and related analytics) as configured by the institution.

Authentication & cookies

We use cookies and similar technologies to keep you signed in and secure. Depending on how your account is set up, you may sign in with email and password, a Google account, or phone-based verification where that option is available. Session duration is configured for the service. Some roles may require administrator approval before access. You can manage or delete cookies through your browser; clearing them will end your session.

Device & local storage

Your browser may store display preferences (such as theme and language) so the interface loads the way you expect. Those values are for convenience on your device and are not a substitute for account information we hold on our systems.

Loading custom fonts or other assets may cause your browser to contact third-party networks; that traffic is limited to what is needed to display the site.

Service providers (subprocessors)

We use independent service providers to host data, run features, and deliver messages. The exact vendors for your organization may depend on your plan and settings.

  • Cloud hosting, databases, and file storage for accounts, content, and activity.
  • Artificial intelligence and automation services that power optional AI features when you use them.
  • Identity, calendar, email, or productivity integrations that you choose to connect (for example Google services, see below).
  • Messaging or telephony providers for SMS, WhatsApp, or similar verification or notifications, where offered.
  • Media storage and streaming for interview or assessment recordings, where those features are used.
  • Video hosting and delivery for optional organization training courses when that feature is enabled.
  • Messaging platforms such as WhatsApp for optional training reminders when your organization turns them on and you consent.
  • Professional network or social integrations when your organization enables them.
  • Email delivery and mailbox connections for messages you send or sync through the product.
  • Other infrastructure your company agrees to in an enterprise arrangement.

Your IT or account administrator can provide a current list of subprocessors that apply to your deployment or contract.

Google user data

Google API Services User Data Policy

Enubix's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Signing in with Google is separate from optionally connecting Google Calendar for scheduling. The calendar connection is designed for calendar-related features; it is not intended to access your Gmail inbox. Product email may be sent through other mail settings you or your administrator configure.

Calendar connection

When you authorize the calendar integration, Google shows the permissions requested. These typically include access needed for calendars and basic profile details used for scheduling. We store only what is needed to keep the integration working, such as tokens you approve during sign-in.

  • Sign-in: You can use Google to sign in without us storing your Google password.

  • Calendar & scheduling: If you connect Google Calendar, we use that access for scheduling-related features you initiate.

  • Gmail: Do not assume we read your Gmail through the calendar connection; use your organization’s mail settings for email features.

AI processing

The platform may include AI-assisted features (for example résumé review, shortlisting, transcription or summarization, scoring, or in-product assistants). Content you submit may be processed by third-party AI providers to generate results. Outputs are meant to assist people, not replace professional judgment, consistent with our Terms of Service.

We may retain limited records about certain AI-assisted actions for security and accountability, consistent with applicable law and your agreement with us.

Parsing & ranking

Structured extraction from documents and comparison to role requirements.

Shortlisting

Ranking or batching candidates against criteria you supply.

Interview & speech

Transcription, summarization, or analysis of recorded sessions when used.

Fairness awareness

Features may support bias reduction; they are not a substitute for policy and oversight.

Assessments, recordings & proctoring

Assessments may collect responses, timing, and related activity. Recordings or uploads may be processed and stored using our service providers as needed to run the feature.

Where proctoring is enabled, the browser may perform automated checks (for example camera or behavior signals). Additional analysis may occur on our systems when you use those features. Loading detection models or media assets can involve third-party networks your organization should account for in its own policies.

Signals such as tab focus or clipboard use may be recorded when the assessment is configured to collect them. Always inform participants when recording or proctoring is active, as required by your policies and applicable law.

Learning & training

Optional learning features for candidates assigned by a hiring organization.

When your organization enables training, we may store course progress (such as lessons completed, quiz attempts, and watch intervals), assignment submissions you upload, bookmarks or notes you save in the player, and certificate metadata for completions.

Lesson video may be delivered through a streaming provider when configured. Optional AI-assisted tutoring or search, when enabled, sends your question and relevant course excerpts to our AI providers to generate a grounded reply; it is not used to score hiring assessments.

Aggregated learning analytics for recruiters are kept separately from hiring scores. Detailed learning activity is typically retained for about thirteen months; daily rollups may be kept longer for reporting, then removed or anonymized according to your organization's agreement and applicable law.

Analytics

Role-based dashboards (for example for administrators or educators) may show usage and performance metrics derived from activity in the product. The standard application does not rely on common third-party marketing analytics trackers for core operation; custom deployments or browser extensions your organization adds may behave differently.

International transfers & security

Subprocessors may process data in regions where they operate. We apply technical and organizational measures appropriate to the service, including access controls and encryption in transit where available. Details depend on your contract and hosting choices.

Retention & your rights

We retain information as long as needed to provide the service and comply with law, including while an organization's account is active and for a reasonable period afterward for backups and disputes. Depending on applicable law, you may have rights to access, correct, delete, or object to certain processing. Contact us to exercise requests.

We update this policy from time to time. It does not replace legal review. Enterprise customers should rely on their order form, data processing agreement, and applicable law.
